Put acceptance criteria in the agreement
Define the delivery before the parties commit: file formats, resolution, sound, subtitles, accessibility, supporting documents, due date and review period. A platform receipt records a workflow event; the agreement determines the rights granted and the consequences of acceptance or a defect.
- Identify the master or screener version and a file checksum where available.
- List every deliverable, language and technical requirement.
- Agree access controls, permitted recipients and transfer method.
- State the inspection period, defect procedure and correction timetable.
- Keep delivery and acceptance references with the deal and INDEX identity.
Questions and answers
Should the full film be uploaded before the sale?
Prepare the package early, but control access. A public page can contain a poster and approved promotional material while screeners and masters stay private. The current in-platform upload limit is 50 MB per file. For larger masters or cinema packages, agree a secure external delivery method with the parties and retain its version and receipt in the deal record.
Can the film already in INDEX be transferred directly to the buyer?
An INDEX submission does not automatically authorise buyer access to its files. Confirm who controls the file, which version is agreed and whether the storage service permits the intended access. Then arrange a controlled transfer or approved access grant. Record the delivery and licence scope; do not treat access to a file as a transfer of all copyright.
Who confirms that delivery is complete?
The delivering party supplies the agreed package and evidence of delivery. The buyer checks it against the acceptance criteria and records acceptance or a specific defect. Platform operators can help review the workflow and supporting records, but cannot replace the buyer’s technical inspection or change the signed licence. Resolve discrepancies before marking the package accepted.
What should I do if files are missing or incorrect?
Record the affected file, version, agreed specification and the problem within the contract’s review period. Preserve the delivery receipt and request a correction through the deal or workspace Support. Do not accept a package you have not checked. Any refund, replacement or release of funds follows the agreement and the enabled payment provider’s rules.
